Who you are dealing with

MUNDP, the Model United Nations Development Programme, is the conference you are applying to. It has run since 2001 and is held at The Koç School in Istanbul, which hosts it.

Everything below is about information you type into a form on this site. If you want to ask about any of it, or use any of the rights further down, write to [email protected] and a person will read it. We answer within thirty days, and there is nothing to pay.

What we collect

Only what you fill in. Nothing is bought from anyone, nothing is scraped from anywhere, and there is no tracking. What the site keeps on your own device is a separate and much shorter list, which is on the cookies page.

If you apply as an individual delegate

For the ICJ, OIF, Historical and Advisory Panel forms: your full name, email address, phone number, school, grade, country, your advisor’s name, email address and phone number, the list of MUN conferences you have been to, and your motivation letter.

If you apply as a student officer

The same, without the advisor’s details, plus your three committee and role preferences.

If you register a school

The school’s name and postal address, country, whether it has been to MUNDP before, its time zone, the delegation size you expect, and the advisor’s name, email address, phone number and full legal name as written on their government issued identification.

If you use the contact form

Your name, email address, school, the position you hold, and your message.

Your IP address

Your IP address is never stored. Every website receives one, because that is how a page finds its way back to you, but nothing here writes yours down. It is not saved in the database, not attached to your application and not kept in any log. Its only use is a tally in memory that stops a single address flooding the forms, and that fades on its own.

Why we hold it, and what allows us to

• Running the conferenceReading applications, assigning committees and countries, and getting in touch with you about your place.
• Reaching your advisorDelegates are at school, and we need an adult we can talk to about travel, conduct and emergencies.
• Answering messagesIf you write to us through the contact form, we keep your message long enough to reply and to sort out whatever it was about.
• Keeping the forms workingRate limiting and the spam trap, so that automated submissions do not bury the real ones.
• Delegates under 18Your school obtains your parent’s or guardian’s permission before you apply, and your advisor confirms to us that they have it.

Details you give us about other people

Individual applicants type in an advisor’s name, email address and phone number. Schools register delegates. So some of what we hold did not come from the person it is about.

If somebody put your details on a form and you had no idea, write to us. We will tell you what we have, where it came from, and delete it if that is what you want.

Who else sees it

Three parties, and no more.

• The MUNDP secretariat and liaison team, through an internal tool that only opens once they have logged in.
• Railway, the company that hosts the site and the database.
• Twilio SendGrid, which sends the team an email whenever a form is submitted. That email carries only the school, name, email address and country. It never carries the motivation letter, the experience list or anything else. A contact form notification carries no message content at all, only the fact that one arrived.

Nobody else. Your information is not sold, not rented, not passed to sponsors and not shared with other conferences.

How long we keep it

Applications, and the records built from them, are kept until the conference has finished and for one year after that. That year is for answering questions, sorting out anything left over and planning the next session. Then they are deleted.

Contact messages go sooner, once whatever they were about is settled.

Deleting is done by hand at the moment rather than on a timer, so if you want yours gone earlier than that, just ask and it will be.

If you are under 18

Most delegates are, since the conference is for grades 9 to 12. We do not ask students to consent to any of this themselves.

Your school collects your parent’s or guardian’s permission before you apply, and your advisor confirms to us that it has been given. If your school has not done that, it should, and you can ask them.

You or your parent can ask at any time for your information to be removed. Write to [email protected]. It will not cost you your place at the conference, and nobody will be told you asked.

What you can ask us to do

Turkish data protection law gives you the rights below. If you are in the European Union, the EEA or the United Kingdom, European law gives you the same ones.

• Tell you whether we hold anything about you, and give you a copy of it.
• Correct anything that is wrong or out of date.
• Delete it.
• Stop using it for a particular purpose, or restrict what we do with it.
• Hand it over in a form you can take somewhere else.
• Object to us relying on legitimate interests, in which case we stop unless we have a strong reason not to.
• Tell you where we got it, if it did not come from you.

Write to [email protected]. You do not have to give a reason, and we will answer within thirty days.

If you think we have handled it badly, you can complain to the Turkish Personal Data Protection Authority, the Kişisel Verileri Koruma Kurumu, at kvkk.gov.tr. If you are in the EU, the EEA or the UK, you can complain to your own national supervisory authority instead. You are welcome to come to us first, but you do not have to.

How it is looked after

The site runs over HTTPS, so what you type is encrypted on its way to us. The tool the team reads applications in sits behind a password and a signed session cookie, and only the secretariat and liaison team can get into it. The database sits on a private volume rather than in the open.

This is a school conference run by its own team, not a bank. We would rather tell you plainly what we do than make promises about military grade anything. If you spot something wrong with how this is set up, [email protected] reaches someone who will fix it.

What we never do

• No advertising, no analytics, no tracking of any kind.
• No profiling, and no automated decisions. A person reads every single application.
• Nothing is sold, and nothing is handed to anyone else for their own marketing.

Changes to this notice

If any of this changes in a way that matters, the date below changes with it and we will say so on the registration pages rather than quietly editing the page.

ICJ, OIF, Historical ve Advisory Panel formları için: adınız ve soyadınız, e posta adresiniz, telefon numaranız, okulunuz, sınıfınız, ülkeniz, danışman öğretmeninizin adı, e posta adresi ve telefon numarası, katıldığınız MUN konferanslarının listesi ve motivasyon mektubunuz.

Student officer olarak başvuruyorsanız

Aynı bilgiler, danışman öğretmen bilgileri olmadan, ayrıca üç komite ve görev tercihiniz.

Okul kaydı yaptırıyorsanız

Okulun adı ve açık adresi, ülkesi, MUNDP’ye daha önce katılıp katılmadığı, saat dilimi, beklenen delegasyon büyüklüğü ve danışman öğretmenin adı, e posta adresi, telefon numarası ile resmi kimliğinde yazdığı şekliyle tam yasal adı.

İletişim formunu kullanıyorsanız

Adınız, e posta adresiniz, okulunuz, göreviniz ve mesajınız.

IP adresiniz

IP adresiniz hiçbir zaman saklanmaz. Her internet sitesi bir IP adresi alır, çünkü sayfanın size geri dönmesi bu sayede olur, ama burada sizinki hiçbir yere yazılmaz. Veri tabanına kaydedilmez, başvurunuza eklenmez ve hiçbir kayda geçmez. Tek kullanımı, tek bir adresin formları doldurup taşırmasını önleyen ve kendiliğinden silinen, bellekteki bir sayaçtır.

Başkaları hakkında bize verdiğiniz bilgiler

Bireysel başvuranlar bir danışman öğretmenin adını, e posta adresini ve telefon numarasını yazar. Okullar delegeleri kaydeder. Dolayısıyla elimizdeki bilgilerin bir kısmı, o bilgilerin ait olduğu kişiden gelmemiştir.

Biri sizin bilgilerinizi bir forma yazdıysa ve bundan haberiniz yoksa, bize yazın. Neyi tuttuğumuzu ve nereden geldiğini size anlatırız, istiyorsanız da sileriz.

Bu bilgileri başka kim görüyor

Üç taraf, daha fazlası değil.

• MUNDP sekretaryası ve irtibat ekibi, yalnızca giriş yaptıktan sonra açılan bir iç sistem üzerinden.
• Siteyi ve veri tabanını barındıran şirket olan Railway.
• Bir form gönderildiğinde ekibe e posta yollayan Twilio SendGrid. Bu e posta yalnızca okul, ad, e posta adresi ve ülke bilgisini taşır. Motivasyon mektubunu, deneyim listesini veya başka bir şeyi asla taşımaz. İletişim formu bildirimi ise mesajın içeriğini hiç içermez, yalnızca bir mesajın geldiğini bildirir.

Başka kimse görmez. Bilgileriniz satılmaz, kiralanmaz, sponsorlara verilmez ve başka konferanslarla paylaşılmaz.

Ne kadar süre saklıyoruz

Başvurular ve onlardan oluşturulan kayıtlar, konferans bitene kadar ve bitiminden sonra bir yıl boyunca saklanır. Bu bir yıl, soruları yanıtlamak, geriye kalan işleri düzene sokmak ve bir sonraki oturumu planlamak içindir. Sonrasında silinirler.

İletişim mesajları daha erken silinir; konusu ne ise o çözüldüğünde.

Silme işlemi şu anda zamanlayıcıyla değil elle yapılıyor. Bu nedenle bilgilerinizin daha erken silinmesini istiyorsanız söylemeniz yeterli, silinir.

18 yaşından küçükseniz

Konferans 9 ile 12. sınıflar için olduğundan delegelerin çoğu küçüktür. Öğrencilerden bunlara kendilerinin rıza göstermesini istemiyoruz.

Okulunuz siz başvurmadan önce velinizin iznini alır ve danışman öğretmeniniz bu iznin verildiğini bize teyit eder. Okulunuz bunu yapmadıysa yapmalıdır ve bunu onlara sorabilirsiniz.

Siz veya veliniz, bilgilerinizin silinmesini istediğiniz anda isteyebilirsiniz. [email protected] adresine yazmanız yeterli. Bu, konferanstaki yerinizi kaybetmenize yol açmaz ve istekte bulunduğunuz kimseye söylenmez.

Bizden neler isteyebilirsiniz

Türk kişisel veri mevzuatı size aşağıdaki hakları verir. Avrupa Birliği’nde, AEA’da veya Birleşik Krallık’ta iseniz Avrupa mevzuatı da aynı hakları tanır.

• Hakkınızda bir bilgi tutup tutmadığımızı söylememizi ve bir kopyasını vermemizi.
• Yanlış veya güncelliğini yitirmiş her şeyi düzeltmemizi.
• Silmemizi.
• Belirli bir amaçla kullanmayı bırakmamızı veya işleyişi sınırlandırmamızı.
• Başka bir yere götürebileceğiniz bir biçimde size teslim etmemizi.
• Meşru menfaate dayanmamıza itiraz etmenizi; bu durumda güçlü bir sebebimiz yoksa dururuz.
• Bilgiler sizden gelmediyse nereden aldığımızı söylememizi.

Konuyu kötü yönettiğimizi düşünüyorsanız Kişisel Verileri Koruma Kurumu’na şikâyette bulunabilirsiniz: kvkk.gov.tr. AB’de, AEA’da veya Birleşik Krallık’ta iseniz kendi ülkenizdeki denetim makamına da başvurabilirsiniz. Önce bize gelmenizden memnun oluruz ama buna mecbur değilsiniz.

Bilgiler nasıl korunuyor

Site HTTPS üzerinden çalışır, yani yazdıklarınız bize gelirken şifrelenir. Ekibin başvuruları okuduğu sistem bir parolanın ve imzalı bir oturum çerezinin arkasındadır; yalnızca sekretarya ve irtibat ekibi girebilir. Veri tabanı açıkta değil, özel bir disk biriminde durur.

Burası bir banka değil, kendi ekibi tarafından yürütülen bir okul konferansı. Askeri düzeyde şu bu vaat etmektense ne yaptığımızı açıkça anlatmayı tercih ediyoruz. Kurulumda yanlış bir şey fark ederseniz [email protected] adresi, bunu düzeltecek birine ulaşır.

Asla yapmadıklarımız

• Reklam yok, analitik yok, hiçbir biçimde takip yok.
• Profilleme yok, otomatik karar yok. Her başvuruyu bir insan okur.
• Hiçbir şey satılmaz ve kimseye kendi pazarlaması için verilmez.
